Privacy Policy

Altidex is a vendor insurance compliance platform for property management companies. We collect, verify, and track Certificates of Insurance (COIs) on behalf of our customers.

From property managers (our customers):

• Account information: name, email address, company name
• Workspace settings and vendor requirement configurations

From vendors (on behalf of our customers):

• Vendor name, email address, and vendor category
• Broker name and email (when provided)
• Certificate of Insurance (COI) PDF documents
• Data extracted from COI documents: insurance carrier names, policy numbers, coverage limits, expiration dates, endorsement details

Automatically collected:

• Email interaction data: message IDs, timestamps, delivery status (for our automated email system)
• Agent activity logs: records of all automated actions taken on behalf of our customers

• To operate the platform: sending outreach emails, processing COI documents, checking compliance against your configured requirements, sending follow-up reminders, and generating weekly reports
• To contact insurance brokers on behalf of our customers when authorized
• To provide customer support
• To improve the accuracy of our document extraction and compliance checking

• We don't sell your data or vendor data to anyone
• We don't share data with third parties for advertising purposes
• We don't provide insurance advice or legal certification — our checks are automated verifications against requirements you define

We use the following services to operate Altidex:

• Supabase — database and file storage (servers in the United States)
• Resend — email sending and receiving
• Anthropic (Claude AI) — document data extraction from COI documents
• Vercel — application hosting
• Inngest — scheduled job processing

COI documents are processed by AI to extract insurance data. The extracted data is stored in our database. We do not use your documents or data to train AI models.

• Account data is retained for as long as your account is active
• COI documents and extracted data are retained for audit trail purposes
• Agent activity logs are retained for compliance tracking
• If you delete your account, we will remove your data within 30 days

You can request to see, export, update, or delete your data at any time. Email help@altidex.ai and we'll handle it promptly.

• All data is transmitted over HTTPS
• COI documents are stored in private, access-controlled storage
• Database access is restricted by row-level security policies
• API keys and credentials are stored as encrypted environment variables

We may update this policy as Altidex evolves. We'll notify customers of significant changes via email. Continued use of Altidex after changes constitutes acceptance of the updated policy.
